Company events are an important way to build team spirit and create a sense of camaraderie amongst employees. But planning and managing these events can be a daunting task - it takes time, effort, and resources to make sure the event goes off without a hitch. To help make this process easier, our team designed a tool on a team building events platform that lets users plan, manage, and review company events.

Company events are an important way to build team spirit and create a sense of camaraderie amongst employees. The Problem

Planning and managing company events is a time-consuming process for companies. Without the right tool, it can easily become chaotic and disorganized. Additionally, companies often have difficulty gathering feedback from their employees after the event. This feedback can be important in improving event planning and making sure future events are even more successful.

The Solution

Our team designed a tool on a team building events platform that lets users plan, manage, and review company events. The tool allows users to create event plans, schedule events, invite participants, and manage event logistics. Additionally, the tool allows users to gather feedback from attendees and review event performance, the same way it works on our paid hosted events. This helps companies ensure their events are successful and their employees are engaged.

Design Process

The first step of the design process was to determine the key features of the tool. We conducted user research to identify the needs of event planners and attendees, and then created a list of features that would help solve these needs. Event planners needed to be able to add in the following

  • Event title

  • Description

  • Image

  • Host info

  • Date & time

  • Location (online meetings links, real life locations, or 'TBD'.

They also needed to be able to edit all of this with ease, be able to publish & unpublish as needed, and also be able to duplicate an event the same way you would a document or a calendar event.

Next, we created a user interface prototype to show how the tool could be used. We tested the prototype with users to make sure it was intuitive and easy to use. We also conducted usability tests to make sure the features were working properly and the user experience was positive.

Finally, we conducted an A/B test to compare the performance of the tool with a control group that used the old flow (loading in events through a CSV file). This allowed us to measure the impact of the tool on event planning and management, and make sure we weren't building it for nothing.

Results

The results of our design process were successful. The tool was well received by event planners and attendees, and it helped make the process of planning and managing events more organized and efficient. Additionally, the tool allowed companies to gather feedback from their employees and review event performance, which helped them improve future events.
